Terms of Service

Last updated October 19, 2026

These terms are an agreement between you and TrailerBook (“we”, “us”). They cover trailerbook.com, the TrailerBook website widget, and our related services. Please read them; the sections on appraisals and AI estimates (4 and 5) and on liability (13 and 14) are especially important.

1. Agreement

By creating an account, making a purchase, or otherwise using TrailerBook, you agree to these terms and to our Privacy Policy. If you use TrailerBook for a business, you confirm you’re authorized to agree for that business, and “you” includes the business.

2. Accounts

  • You must have reached the age of majority where you live to create an account.
  • Give accurate information and keep it up to date. Each account is for one person; business accounts add team members through invitations.
  • Keep your password private. You’re responsible for activity on your account; tell us right away if you think someone else has used it.
  • A business’s type (dealer and service shop, or service shop) is set when the business account is created and decides which plans and features it can use.

3. Plans, payments and refunds

  • Plans. Free plans have the limits shown on our pricing page. Paid plans include the allowances shown there (for example, appraisals, history reports or leads per month). Unused allowances don’t carry over.
  • Subscriptions are billed in advance, monthly or yearly, in Canadian dollars unless shown otherwise, and renew automatically until you cancel. You can cancel at any time in Billing; you keep your plan until the end of the period you’ve paid for.
  • One-time purchases, such as appraisals and history reports, are charged when you buy them.
  • Taxes are added where required.
  • Price changes to a subscription take effect from your next billing period after we’ve given you notice. If you don’t agree, you can cancel before then.
  • Refunds. Payments aren’t refundable once the service has been provided or the period has started, except where the law requires. If a paid appraisal or report can’t be delivered because of a problem on our side, we’ll complete it or refund it.
  • Payments are processed by Stripe under its terms. If a payment fails, we may limit paid features until it’s resolved.

4. Appraisals, values and AI

TrailerBook appraisals and values are estimates. They’re produced with the help of artificial intelligence from the photos and information provided, the trailer’s records, and market data from sales and listings.

  • They are not a certified or professional appraisal, a physical inspection, or a guarantee of what a trailer will sell for or what anyone will pay.
  • Their accuracy depends on the information and photos provided. AI can make mistakes, including about condition, damage or specifications.
  • Trade-in estimates are general ranges; each dealer sets its own offers.
  • Don’t rely on them alone for lending, insurance, tax, legal or safety decisions. Inspect a trailer, or have it inspected, before buying, selling or using it.

5. Maintenance plans and reminders

  • Maintenance plans are general guidance based on the trailer’s details, how it’s used, and its records. The manufacturer’s manual and a qualified technician come first.
  • Reminders, including CVI (commercial vehicle inspection) reminders, are a convenience. They may be late, missed or wrong. You remain responsible for your trailer’s maintenance, safety and legal compliance, including inspections, registration and insurance.

6. Trailer profiles, lookups and history

  • Trailer profiles are tied to the VIN. Service history comes from records added by owners (marked owner-reported) and by service shops (marked shop-verified).
  • We don’t check every record and can’t guarantee a history is complete or correct. Work done elsewhere may not be recorded.
  • Only add a trailer you own or have the right to manage. Ownership is confirmed with a photo of the VIN label; falsely claiming a trailer may lead to the account being closed.
  • When ownership is transferred, the trailer’s profile and history go to the new owner.
  • If a trailer was sold without a transfer, the buyer can claim it with a photo of its VIN label. We ask the registered owner to confirm; it moves to the buyer if they confirm or don’t answer within 14 days. If the owner says it’s still theirs, TrailerBook reviews the claim and decides. Keep your account email current so you see these requests.

7. Your content

You keep ownership of what you add: photos, records, documents and details. You give TrailerBook a non-exclusive, worldwide, royalty-free licence to store, process, display and share that content as needed to provide the service and as described in our Privacy Policy. That includes keeping a trailer’s service history with the trailer when it changes hands, and using trailer and sale information, combined and without identifying anyone, to calculate values and improve TrailerBook.

You confirm you have the right to add your content, that it’s accurate to the best of your knowledge, and that it doesn’t infringe anyone’s rights. We may remove content that breaks these terms.

8. Dealer and service shop accounts

  • Records your team marks as shop-verified must reflect work your business actually did. You’re responsible for their accuracy.
  • You’re responsible for the customer information you add, for having consent where the law requires it, and for your customers’ rights over their information. Turn on customer reminders only for customers who agreed to receive them; anti-spam laws (such as Canada’s CASL and the US CAN-SPAM Act) apply to those emails, which are sent in your business’s name.
  • Leads and owner information shared with you may be used only to respond to that owner about their trailer, not added to marketing lists or shared with others.
  • Offers you make to owners are your own. You’re responsible for honouring them and for your own legal obligations as a dealer.
  • The website widget must stay labelled “Powered by TrailerBook” and may only be used on your own business’s website.
  • The account owner and administrators manage the team and are responsible for their team members’ use of TrailerBook.

9. Dealings between users

TrailerBook connects owners, dealers and shops but isn’t a party to sales, trades, repairs or other agreements between them. We don’t guarantee any user’s offers, work, payment or conduct. Any dispute is between those involved, though we’re happy to help where we can.

10. Acceptable use

You agree not to:

  • add false, misleading or fraudulent records, photos or ownership claims;
  • use TrailerBook to break the law or infringe anyone’s rights;
  • access other people’s accounts or information without permission;
  • scrape, copy or bulk-download data, or use automated tools to access TrailerBook, except through features we provide;
  • resell or redistribute TrailerBook data, reports or values without our written permission;
  • probe, disrupt or overload TrailerBook, or get around its security or plan limits;
  • copy, reverse engineer or build a competing service from TrailerBook.

11. TrailerBook’s property

TrailerBook’s software, design, name, logos, reports and data compilations, including our market data and values, belong to TrailerBook or its licensors. You may use reports you’ve bought for your own purposes, such as sharing an appraisal report with a buyer, but these terms don’t give you any other rights to them.

12. Suspension and closing accounts

You can close your account at any time in Account Settings. We may suspend or close an account that breaks these terms, puts others at risk, or is involved in fraud, usually with notice unless that would be unsafe or unlawful. Sections that by their nature should continue (such as content licences needed for trailer histories, disclaimers and liability limits) survive closure.

13. Disclaimers

TrailerBook is provided “as is” and “as available”. To the extent the law allows, we make no warranties beyond those in these terms, including any implied warranties of merchantability, fitness for a particular purpose, or that the service will be uninterrupted or error-free. Nothing in these terms limits rights you have under consumer protection laws that can’t be waived.

14. Limitation of liability

To the extent the law allows, TrailerBook won’t be liable for indirect, incidental, special or consequential losses, or for lost profits, revenue or data, including losses from relying on an estimate, a record, a reminder, or another user. Our total liability for any claim relating to TrailerBook is limited to the greater of the amount you paid us in the 12 months before the claim and CA$100.

If you use TrailerBook for a business, you agree to cover TrailerBook’s reasonable losses from claims arising out of your records, your customer information, your offers, or your breach of these terms.

15. Governing law

These terms are governed by the laws of British Columbia and the federal laws of Canada that apply there. Disputes will be resolved in the courts of British Columbia, unless the law where you live gives you the right to bring a claim there.

16. Changes and contact

We may update these terms as TrailerBook changes. For significant changes, we’ll give you notice by email or on the site before they take effect. Continuing to use TrailerBook after that means you accept the new terms; if you don’t, you can close your account.
